PureGem Surface Clean is a family-run exterior cleaning business. We collect a limited amount of information about the people who ask us for quotes and the people we do work for.

1. Who we are

PureGem Surface Clean is a partnership operated by Luke Lawrence and Gemma Lawrence. We provide exterior cleaning and surface restoration services to homes and commercial properties, mainly across West and North Yorkshire.

For the purposes of data protection law, Luke Lawrence and Gemma Lawrence are the data controllers for the information described in this policy. That means we are responsible for deciding how it is used and for keeping it safe.

This policy covers our website and any enquiry, quote, booking or job that follows from it. It does not cover other websites that we link to or display. This policy applies to our website: puregem.co.uk

2. Information we collect

2.1 When you request a quote
Our quote form asks for your name, phone number, email address, postcode or location, and details about the property and the work you have in mind. You can also upload photographs of the surface you want cleaned. Photographs are optional.

When the form is submitted, the website also records which page you sent it from and which form you used, so that we can understand your enquiry in context. Your enquiry is delivered to us by email and may also be stored in the website’s database, along with any photographs you upload.

2.2 When you phone or email us
We keep the contact details and correspondence needed to answer your question and to prepare a quote. That includes emails, text messages and notes of phone calls.

2.3 When we visit or carry out work
We may record the property address, access arrangements, details of the surfaces to be treated, products used, dates of attendance, and notes about anything we identified that could affect the work.

2.4 Payment and job records
We keep a record of the work carried out and the amount paid, and any receipt or invoice we issue. We do not take card details through this website, and we do not store your card numbers.

2.5 Photographs of your property
We often photograph exterior surfaces before and after work, both to record the condition of the property and to show prospective customers the standard of our work. These are photographs of the outside of the building.

2.6 Website technical information
Like almost every website, ours is served by a hosting provider whose servers record basic technical information when a page is requested. These server logs are used for security, to diagnose faults, and to keep the site available.

2.7 Reviews
Our website displays reviews that customers have left on Google. We do not collect or control that review data; it is held by Google. If you leave us a review, Google’s own privacy policy applies to it.

2.8 Your cookie choices
When you visit the website, a banner asks whether you will allow us to measure how you use it. Nothing optional is selected for you, and rejecting is as easy as accepting.

3. Information we do not collect
To be clear about what is not happening on this website:

We do not require you to create an account, and there is no login area for customers.
Our blog posts do not have a comments feature, so we do not collect information that way.
We do not process payments on this website.
We do not knowingly collect information about children.
We do not ask for, and do not want, special category information.

4. How and why we use your information
UK data protection law requires us to have a lawful basis for each thing we do with your information.

Responding to your enquiry and preparing a quote: Your name, phone, email, postcode, property details, photographs and messages, Contract – taking steps at your request before entering a contract (Article 6(1)(b) UK GDPR), and our legitimate interests in answering enquiries (Article 6(1)(f))

Keeping the website secure and working, Server logs held by our hosting provider, Our legitimate interests in running a secure website (Article 6(1)(f))
Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights. Because the information involved is limited, and because you can object to it at any time, we consider that they are not. You can object to processing based on legitimate interests by contacting us.

4.1 Photographs and before-and-after images
We are proud of the results we achieve, and photographs are the clearest way to show them. We will normally photograph the exterior surfaces we clean, and we may use those images on our website, on our social media pages and in quotes to other customers.

When we publish an image, we try to avoid anything that identifies the property or the people in it: we do not include house numbers, street signs, vehicle registration plates or people where we can reasonably crop or avoid them. Photographs are always of the exterior of the building. We do not photograph the inside of your home.

This use is based on our legitimate interests, not on consent. That means you do not have to agree to it, but you can object at any time and we will stop using the images. If you would prefer that we never photograph your property at all, just tell us before we start and we will not. To object to an existing image, email lukelawrence7@puregem.co.uk with the address and, if you can, a screenshot of the image. We will remove it from our website and social media within 30 days of your request, and we will not use it again.

5. Who we share it with
We do not sell or rent information to anyone.

We may need to share information in these limited situations:

Professional advisers – our accountant, or a solicitor if a dispute needs one.
Our insurer – if a claim is made or a potential claim is notified under our public liability cover.
Law enforcement, regulators or courts – where we are legally required to disclose information, or where disclosure is necessary to establish or defend a legal claim.

6. Transfers outside the UK
Our hosting provider stores the website, its database and uploaded images on servers in the United Kingdom, so if you send us an enquiry, that information is held in the UK.

7. How we keep it secure
We take the security of your information seriously, and we are realistic about the scale of our business. Our measures include:

The website is served over an encrypted HTTPS connection, so information you submit through the form travels encrypted.
Access to the website, its database and the email inbox is restricted to owners only.
We keep our devices, software up to date, and we do not store customer information on shared devices.

8. Your rights
Under UK data protection law you have the right to:

Be informed about how we use your information
Access the information we hold about you, and receive a copy.
Have inaccurate information corrected.
Have information erased where we no longer need it and there is no legal reason for us to keep it.
Restrict what we do with it.
Object to processing based on legitimate interests, including the use of photographs of your property.
Data portability, where we hold information you provided under a contract and it is processed automatically.
Withdraw consent at any time, where we have relied on consent.
To use any of these rights, email lukelawrence7@puregem.co.uk or write to us at 1 Granville Place, Otley, West Yorkshire, LS21 3EA. We will respond within one month. There is no charge. If your request is complex we may extend that period, and we will tell you if we need to.

We may ask for proof of identity before we release information, to make sure we are not giving it to the wrong person.

If you are unhappy with how we have handled your information. Please tell us first most issues can be sorted out quickly. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113. You can complain to the ICO at any time.

9. Marketing
We do not send marketing emails or newsletters, and we do not add people to marketing lists. We do not share your details with anyone else so that they can market to you. We may contact you about a quote you have asked for, or about a job we have carried out.

10. Children
Our services are aimed at adults, and this website is not intended for children. We do not knowingly collect information about anyone under 18. If you believe a child has sent us information, please contact us and we will delete it.

11. Cookies and your consent

Our website uses a small number of cookies. One records your cookie choices and is strictly necessary; analytics cookies are set only if you accept them. Nothing optional of ours is set before you have chosen, and nothing optional is pre-selected.

One thing worth knowing: this website embeds a Google map showing where we are based, and displays Google reviews. Those features load content from Google, which means Google set its own cookies. That is outside our control, and it is explained in the Cookie Policy.

12. Changes to this policy
We may update this policy if the way we work changes. The date at the top of the page shows when it was last revised. If a change is significant, we will make that clear on the website.

13. How to contact us

If you have any question about this policy or about the information we hold, please get in touch. You will usually be speaking to Luke.
